This policy explains how Vicaria Health Inc., operating the Vicaria Care service (collectively “Vicaria Care,” “we,” “us,” or “our”), collects, uses, discloses, and protects personal information through vicariacare.ca, the Vicaria Care workspace at app.vicariacare.ca, and our care-arrangement communications and services.
Information we collect
Depending on how you interact with us, we may collect:
- contact and account information, such as name, email address, phone number, and login details;
- care-request information, including routines, preferences, location, scheduling, mobility, and support needs you choose to share;
- communications, visit details, caregiver preferences, and customer-service records;
- technical information such as IP address, browser, device, referring page, and website activity; and
- records required to provide services, meet legal obligations, prevent misuse, or resolve concerns.
Please share only information that is relevant to arranging support. Do not use the website or workspace for an emergency; call 911.
How we use information
We use personal information to:
- respond to inquiries and arrange, coordinate, and manage requested support;
- operate accounts, visits, messages, quotes, and care details;
- communicate with families, caregivers, and authorized representatives;
- protect users, investigate misuse, and maintain service security;
- improve accessibility, reliability, and the customer experience; and
- comply with applicable legal and regulatory requirements.
We do not sell personal information.
When information is shared
We disclose only the information reasonably required for the purpose to caregivers and service providers involved in a requested care arrangement; technology, hosting, communication, analytics, and professional-service providers working for us; a person you authorize; or authorities when disclosure is required or permitted by law.
Providers may process information in Canada or other countries, where it may be subject to local law. We require providers to handle information for the services they perform for us.
Website analytics
The public website uses Cloudflare Web Analytics to understand basic traffic and site performance. Cloudflare may process technical request and device information for this purpose. We do not place care-request details in analytics events or analytics URLs.
Consent, retention, and safeguards
We seek consent where required and may otherwise collect, use, or disclose information as permitted by law. You may withdraw consent, subject to legal or service restrictions, by contacting us.
We retain information only as long as reasonably necessary for the purposes described here and applicable legal, safety, accounting, and dispute-resolution requirements. We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No method of transmission or storage is completely secure.
Access and correction
You may ask to access or correct personal information we hold about you, or ask a privacy question or make a complaint. We may need to verify your identity and may be unable to provide information where law permits or requires us to withhold it.
Children
Our website and workspace are intended for adults arranging or managing care. A parent, guardian, or other authorized adult should contact us before providing information about a minor.
